Shopify needs two kinds of identity: the brand shoppers see and the legal business that receives payouts and appears on invoices. Mixing them up creates failed verifications, bounced email, and checkout that looks untrustworthy. This is an admin tutorial, not legal or tax advice. Use information that matches the entity your bank and tax authority know.
Quick answer
In Settings → Store details (or the equivalent in your admin), enter store name, customer email, phone, and the store address you want on customer communications. Complete billing and payments identity with the legal name, tax IDs Shopify asks for, and the address on your bank account. Keep brand name and legal name consistent on policy pages. Then continue the rest of store settings.
Brand vs legal entity
| Field | Typical use | Example |
|---|---|---|
| Store name | Theme header, some emails | River Street Goods |
| Legal / billing name | Payouts, Shopify invoices, payment onboarding | River Street LLC |
| Store address | Shipping origin, some tax, customer emails | Warehouse or registered office |
| Customer email | Order confirmations, “contact us” | orders@yourdomain.com |
You may trade as a brand that is not identical to the LLC name. You may not invent a country or tax ID to “get through” Shopify Payments.
Step-by-step: store details
- Open Settings and find Store details.
- Store name: the brand from choosing a store name.
- Customer email: an inbox humans read. Avoid a personal Gmail you will abandon, if you can use the domain.
- Customer phone: optional but useful for shipping carriers and trust. Use a number you will answer.
- Store address: the physical address Shopify should associate with the shop. For a home-based shop, that may be your home; know the privacy trade-off. Some merchants use a registered agent or warehouse address—follow your local rules.
- Save. Preview an order confirmation later so the footer is not “Example store, 123 Fake Street.”
Shopify Help Center documents store details under getting started and settings. Search “store details” in help.shopify.com if the menu moved.
Step-by-step: billing and payments identity
- Settings → Billing. Confirm the account email and payment method for the Shopify subscription.
- Settings → Payments. Complete Shopify Payments or your gateway’s onboarding. Names, dates of birth, and company numbers must match official documents. Mismatches delay payouts.
- If Shopify asks for a tax ID (EIN, GST, VAT, etc.), enter the one that belongs to this business. Empty or invented IDs fail later.
Payout bank account currency and country should match how you actually operate. Changing country after you have orders is painful.
Units, time zone, and order numbering
In store details or Settings → General (label varies):
- Time zone: use the warehouse or HQ zone so “today” in reports matches packing.
- Unit system: metric vs imperial for weights. Shipping rates use these weights.
- Order ID prefix: optional. Do not change it weekly.
Currency is a Markets / payments topic: currency and language.
Policy pages should match admin
Refund, legal, and contact pages should use the same legal name and address you put in Settings. Tutorial: important pages.
Common mistakes
- Personal nickname as the legal payout name.
- Using a friend’s address “just for the trial,” then forgetting.
- Customer email that is a no-reply address you cannot read.
- Different company names on the theme, the invoice, and Instagram.
- Skipping payments identity until the day of launch.
What to do next
Finish payments and shipping in the settings map. Create the store path in how to create a Shopify store.
AalphaLeo Digital Solutions (aalphaleo.com, +91 9288621081) can help with a Shopify build. They cannot invent a legal entity for you. File the paperwork first.
Frequently asked questions
Can I hide my home address?
Sometimes with a registered business address or fulfillment location, depending on local law and Shopify’s requirements for payments. Ask a local advisor. Do not use a random coworking address you cannot receive mail at.
What if I am not incorporated yet?
You can often start a trial as a sole proprietor where Shopify allows it. Payments onboarding will still ask who you are. Plan the legal structure before you take real volume.
Does the store name have to match the domain?
It should be recognizable. Exact string match is less important than not looking like a different company in checkout.
Where do invoices to me (Shopify’s bill) go?
Billing email in Settings → Billing. That can differ from customer email. Both must be inboxes you control.
