Shopify inventory is the count of units you can sell at each location, on each variant. The durable jobs are: track quantity, decide whether to oversell, keep location counts true, and move stock with transfers. Admin labels move. Use Shopify Help Center: inventory for the current Inventory page, adjustments, and transfers.
This is operations, not an app stack. Low stock is a calendar and a count—not a dashboard religion. Add products first: how to add products to Shopify. Variants need their own rows: how to add product variants in Shopify. Shipping origin: store settings.
Quick answer
On each product or variant, turn Track quantity on and enter Available for the location that actually fulfills online orders. Leave Continue selling when out of stock off unless you mean to take preorders or backorders. If you have more than one warehouse, shop, or 3PL, use locations and transfers—do not type the same units into two places. Shopify’s public US pricing table on 29 August 2026 listed 10 inventory locations on Basic, Grow, and Advanced, and 200 on Plus; confirm in Settings → Locations and on shopify.com/pricing. Review low stock on a schedule. POS, if you use it, has its own oversell behavior—read Help Center before you assume the online toggle applies at the register.

Track quantity
Tracking is off until you turn it on. When it is on, Shopify can stop checkout at zero (default) and show history in admin. Enter the number you can pick today. Do not enter 999 to “keep the product live.”
Available is not the same as every unit in the building if you also have Committed (sold, not yet fulfilled) or incoming transfers. Learn the columns on the Inventory page from Help Center rather than from a screenshot on social media. Keep Shopify terminology open for location vs SKU vs variant.
Adjustments should have a reason you would tell a partner: received PO, cycle count, damaged, returned.
Oversell on or off
Continue selling when out of stock (wording varies slightly by admin version; Help Center also says “sell when out of stock”) lets checkout complete at zero or below. Use it for:
- Preorder with a date you honor in the product description.
- Known inbound stock and a lead time you state in policies.
Leave it off for limited fashion sizes and anything you cannot replace quickly. Overselling without a promise is how you burn trust faster than a slow theme. Details: selling out of stock products.
Help Center notes that this online toggle does not work the same way on Shopify POS: staff may still sell below zero at the register, with a warning. If you sell in person, read that page.
Locations (plan caps)
A location is a warehouse, retail floor, pop-up, or app/3PL that holds stock. Online availability follows which locations are set to fulfill online orders. Stock sitting only at a location that does not fulfill the online store still looks out of stock to customers.
Shopify’s public US comparison table on 29 August 2026 listed 10 inventory locations on Basic, Grow, and Advanced, and 200 on Plus. Help Center’s locations article matches that pattern (and lists a smaller cap on Starter). Treat the table and Settings → Locations as the source of truth; country and promotions can differ. You do not upgrade from Basic to Advanced to get more locations on that table—you do not get 200 until Plus.
Deactivated locations typically do not count toward the cap. Confirm in admin.
Transfers
When stock moves from Warehouse A to Store B, use a transfer (or your 3PL’s workflow) so one location decrements and the other increments. Editing both products by hand is how you double-count. Receive the transfer when the boxes actually arrive, not when you print the PDF.
If a 3PL or marketplace app owns a location, do not also “fix” that number in Shopify without knowing which system is master. Pick one source of truth.
Low stock as an ops habit
Apps can email you at five units. That is optional. The habit is: a weekly (or daily, if you are hot) look at Inventory, a reorder point you wrote down, and a purchase order. A badge on a chart does not reorder fabric.
Collections and tags do not manage stock. They organize the catalog: how to create collections in Shopify, Shopify product tags. Photos should still match what you can ship: how to optimize Shopify product images.
Do not go public with fantasy quantities. The launch checklist and how to launch a Shopify store assume you can fulfill.
Common mistakes
- Tracking off while promising “in stock” in ads.
- Oversell on for every SKU because someone feared a lost sale.
- Two locations, one physical pile.
- Ignoring Committed units and overselling by accident.
- Buying an inventory app before you can count a shelf.

Frequently asked questions
Should I track inventory from day one?
Yes if you sell physical goods with a finite count. Untracked inventory is for true made-to-order or unlimited digital delivery—and you should say so in the description. Most first stores should track.
What is the difference between Available and On hand?
Shopify splits inventory into states such as available, committed, and incoming. Names in admin can shift. Use Help Center’s inventory definitions for your current admin. Do not treat “On hand” as sellable if committed orders already own those units.
How many locations do I need?
One if you ship from a single closet. Add a location when a second place actually holds stock or fulfills. Do not create locations as a filing system. Check the plan cap in Locations settings.
Will an inventory app fix overselling?
No. An app can notify and sync. If two channels sell the same unit without a shared count, you will still oversell. Fix locations, tracking, and the oversell toggle first.
