How to Set Up Returns, Refunds and Exchanges in Shopify

Match your Shopify refund policy to admin return rules. Process refunds, exchanges, and restocking from Orders. Confirm any self-serve returns portal in Help—not as a Plus requirement.

Shopify returns are two layers that must say the same thing: the written policy shoppers read, and the admin tools you use when an order comes back. If checkout links a 30-day refund page but you never refund, you will lose the argument. This is not legal advice. Consumer rules differ by country. Write a refund / returns page that matches how you actually work. Link it in Settings → Policies (and checkout). In admin, set return and cancellation rules (window, return shipping, restocking) if your store shows them. Process returns from the order: return the item, then refund, exchange, or store credit—those are different outcomes. A customer-facing returns portal (self-serve returns) exists in Shopify’s product; confirm it in Help for your admin and customer-account setup. It is not something you must be on Plus to consider, and we will not invent Plus-only as required.

Help treats a return as receiving goods (optional label and tracking), a refund as sending money, and an exchange as sending a replacement as part of that return. You can refund without a physical return (unfulfilled orders, obvious merchant error). You should not restock what never came back.

Restocking has two meanings: putting inventory back on the shelf, and charging a restocking fee. Help: return rules can show a percentage restocking fee. Return fees are not always auto-deducted from the refund—when you create the refund, deduct fees if that is still how your admin works (Help has stated you may need to deduct manually). Say the fee on the policy page if you charge it.

Policy page must match admin

Draft the page first: window (from delivery, not from “sometime”), condition of goods, who pays return postage, final-sale SKUs, and whether you offer exchanges or credit. Then set return rules to the same numbers. Put the page in the footer and in checkout policy links. Checkout settings will show empty policy links if you skip Settings → Policies.

Shopify can generate policy templates. They are drafts. Replace placeholders. A lawyer should review if you sell across borders.

Step-by-step: return rules and processing

  1. Settings → find Policies / Return rules (path: return and cancellation rules). Set the window, return shipping (free, flat, or customer-arranged), restocking percentage if you use one, and exclusions Shopify lets you name.
  2. Save. Open the policy page and rewrite any sentence that disagrees.
  3. Optional self-serve / portal. Help documents self-serve returns and cancellations so customers can request a return from the order status page or customer accounts. Activation is typically under customer account settings. Shopify has required the newer customer accounts experience for some of this. Exchanges may not be requestable in self-serve—Help has stated customers cannot request exchanges there. Confirm the current article: self-serve returns. If the control is missing, it may be plan, account type, or a rolled-out feature—not a cue to buy Plus on a rumor.
  4. When a return happens: open the order → create return (creating returns) → send label or instructions → inspect goods → process: refund, collect a balance, or fulfill exchange items. Restock only if the unit is sellable.
  5. Test with a cheap order you immediately reverse. Do not wait for a real customer to discover the policy and the admin disagree.

Apps can add branded portals and automation. They do not replace a true policy. Prefer native tools until volume proves you need an app.

  • Policy says 30 days; rules say 14; Instagram says “easy returns.”
  • Refunding and restocking damaged goods as available.
  • Charging a restocking fee that never appeared before checkout.
  • Enabling self-serve returns with classic accounts still required and no login link.
  • Treating store credit as a refund on the policy page.
